We have changed the sign up process a bit, so please bear with us! We are hopeful that this new process will make communication among the chairs, members, other committees, and previous chairs easier. Below is a link to a Google sheet where you can review each committee and their descriptions. This is also where you will enter your information to sign up (this is a change from our prior use of Signup Genius). Below is also a detailed explanation of each committee. Prior committee notes, previous chairperson contact information, vendor contacts, etc. will be provided to the chairs prior to event planning.

HSA Committees 2024-25
3rd Grade Ancient Civilizations Day (ACD) Committee
Description and Responsibilities: ACD is held toward the end of the school year, as a supplement to the ancient civilizations component of the 3rd grade curriculum. Activities have included, but are not limited to: architecture lecture, craft and building activities, belly dancing, gardening, and team building games. Committee chairs will meet with 3rd grade teaching team 2-3 times prior to day, purchase supplies (and submit for reimbursement), arrange payment/gift for presenters, create and manage Signup Genius for day of volunteers. List of previous contacts will be provided to chairs. Committee members will prepare and facilitate day of activities.
Date of Event/Time Commitment: Full day event in the spring (date will be sometime between late March and mid-May, exact date TBD by 3rd grade teaching team), preparations begin about 6-8 weeks leading up to event

4th Grade PA Day Committee
Description and Responsibilities: 4th Grade PA (Pennsylvania) Day is held toward the end of the school year, as a supplement to the Pennsylvania social studies component of the 4th grade curriculum. Activities have included, but are not limited to: hex craft, presenters, food, lunchtime entertainment, and take home goody bags for the students. Committee chairs will meet with 4th grade teaching team, purchase supplies (and submit for reimbursement), arrange payment/gift for presenters, create and manage Signup Genius for day of volunteers. List of previous contacts will be provided to chairs. Committee members will prepare and facilitate day of activities.

5th Grade Events Coordinator and Family Liaison
Description and Responsibilities: Coordinate with executive board, chairs of other 5th grade focused committees (t-shirt, bingo, yearbook), and 5th grade teaching team to create a timeline of important dates, committee needs, etc. and advise families of such information in a timely manner via email and social media.

5th Grade Bingo Committee
Description and Responsibilities: Help plan and organize Family Bingo night, which acts as a fundraiser for 5th grade activities. Chairs will work with Exec Board to determine budget needs and how proceeds will be used. Chairs will also delegate the following responsibilities to committee members: obtaining Bingo license, purchasing prizes and submitting for reimbursement, arranging food, and coordinating student volunteers for the evening.

5th Grade T-Shirt Committee
Description and Responsibilities: Responsible for design and collection of signatures for our 5th grade t-shirt. Chairs will coordinate with vendor, delegate responsibilities to committee members, and arrange for shirt distribution to students.

5th Grade Yearbook Committee
Description and Responsibilities: Responsible for designing yearbook for 5th grade students and teachers. Chairs will communicate with the vendor in the fall and delegate the following responsibilities: collecting photos from previous years and the current year, designing layouts, and proofreading. Subcommittees can be created for various tasks.

Adult Social Committee
Description and Responsibilities: Responsible for planning adult only event. Chairs may determine theme (if any), communicate with HSA Board to determine fundraising aspect, research and book venue, and collaborate with Silent Auction Committee (if needed). Committee members may assist with event prep, ticket sales and marketing the event.

Adult Silent Auction Committee
Description and Responsibilities: Responsible for soliciting donations from local businesses to be raffled off in conjunction with the Adult Social. Chair will communicate with HSA Board and Adult Social Committee Chairs regarding auction platform and listing items. Committee members may solicit donations and other tasks as needed.

Assembly Research Committee
Description and Responsibilities: Researches potential schoolwide assemblies, forwards information to HSA Board and School's Office Staff. If assembly is selected, may be involved in coordination of date/time and payment.

Book Fair Committee
Description and Responsibilities: HSA coordinates the spring book fair held during 2nd trimester conferences. Committee chairs will contact supplier (Scholastic), determine logistics with library, delegate the following responsibilities to committee members: marketing, SUG for sale helpers, VIP event planning.

Community Outreach Committee
Description and Responsibilities: Plans and facilitates events to connect our community and school throughout the school year (i.e. food drive to benefit food pantries, coin drive to benefit East Goshen Township camps, book drive to benefit local day homes, clothing drives, collaborations with Bellingham, and more). Subcommittees may be created for separate events. New ideas are always welcome.

Decorating Committee
Description and Responsibilities: Helps beautify our school, both inside and out. Chairs will determine the schedule so that decor is up-to-date with seasons and school activities, and purchase necessary supplies and submit for reimbursement. Committee members will assist in creating and putting up decor in halls and on bulletin boards, as well as outside as needed. Members are encouraged to bring their artistic talents!

Garden/Outdoor Classroom Committee
Description and Responsibilities: Responsible for maintaining garden and outdoor classroom space, including but not limited to: planting, cleaning (2 major clean ups/year), watering, mulching, ordering supplies and submitting for reimbursement, fixing, planning. Committee Chair(s) will determine schedules, coordinate usage with teachers, arrange for volunteers.

Grade Level Historian
Description and Responsibilities: The purpose of the Historians will be to solicit, collect and catalog pictures from grade level events, such as field trips, class parties, school assemblies, and other activities. Historians will receive a list of students in their specific grade to ensure photos of every student are collected. This process will be essential in easing the burden of picture selection for the grade’s eventual yearbook in 5th grade.

Homeroom Parent Committee
Description and Responsibilities: Responsible for soliciting and organizing 2-3 Homeroom Parents (f/k/a Homeroom Parent Leads) per class, explaining responsibilities to Homeroom Parents at September meeting, and communicating party information to Homeroom Parents 3 times a year. Party Helpers (f/k/a Homeroom Parents) will be solicited separately in September.

Hospitality Committee - Students and Families
Description and Responsibilities: Responsible for planning and facilitating events for our students and families, including, but not limited to, New Family Social, Welcome Back Ice Cream Social, monthly Donuts with Grownups, Fall Family Fun Night, 5th Grade Mothers Tea, 5th Grade Breakfast, End of Year Picnic. Committee chairs will delegate the following responsibilities: order of food and supplies and submitting for reimbursement, coordinating vendors, and organizing set up/clean up and volunteers for each event. Subcommittees may be created for separate events. Committee members will help plan and attend events.

Hospitality Committee - Teachers and Staff
Description and Responsibilities: Responsible for planning and facilitating events for our teachers and staff, including 3-4 teacher and staff meals per year (either catered or pot luck), stock the staffroom (2 times per year), and organizing Teacher Appreciation Week with the Corresponding Secretary. Committee chairs will delegate the following responsibilities: collecting teacher meal orders, creating signup genius for pot luck events, organizing set up/clean up for events, purchasing food and supplies as needed. Subcommittees may be created for separate events. Committee members will help plan and attend events.

School Pictures Volunteer
Description and Responsibilities: Assist photographer day of school pictures, control flow of students, fix hair and clothes as needed. Chair will coordinate schedule of volunteers, Members will volunteer their time the day of pictures.

Spirit Wear Committee
Description and Responsibilities: Determines items to be made available during Spirit Wear Sales, communicate with vendor, and assist with ordering and distribution of Field Trip Shirts. This committee is not currently designed as a fundraiser.

Sustainability Committee
Description and Responsibilities: Plans and facilitates opportunities to reduce waste and increase awareness of sustainable practices among families, staff, and students. Will work in conjunction with other planning committees, teachers and staff to reduce waste at events while still retaining the positive spirit of our school community. (This is a new committee for the 2024-25 school year, and as such parameters are likely to change as development continues)

Teacher Appreciation Week Committee
Description and Responsibilities: Committee Chairs will establish theme and daily activities/events for Teacher Appreciation Week to appropriately recognize the contributions of teachers and staff. Committee will work with Teacher Hospitality Committee to coordinate luncheon during the week. Chairs will work with committee members to establish volunteer schedule

Wellness Committee
Description and Responsibilities: Committee Chairs will work with the school nurse, HSA and school administration to help develop and implement wellness events for EGE throughout the year, including but not limited to coordinating a snack during PSSA testing period, planning and facilitating Wellness Fair in spring. Committee Chairs will determine schedule of events and delegate responsibilities to committee members. Committee Members will commit to helping with planned activities.

Winter Fair Committee
Description and Responsibilities: Plans and facilitates games/activities/crafts, raffle baskets, prizes and food for this school-wide event held in the spring. Chairs will determine activities and schedule, correspond with vendors and HSA board, create subcommittees as needed. Event may or may not be a fundraiser, depending on budget needs. Additional day-of volunteers will be sought closer to the event.
